Add a client and invite them to their portal

Create an individual client workspace and share its private invitation.

Before you start

Check that you are authorized to create the client's record and that their name and email are correct. Follow your practice's consent and privacy process.

Follow these steps

  1. 1. Open Clients

Choose Clients in the counselor workspace.

    Open clients
  2. 2. Add the client

Select Add client. Enter the Client name and Client email, check them carefully, and select Save client.

  3. 3. Open the client's workspace

Choose the saved client from the list. Review their contact details and the portal-access section.

  4. 4. Create and share the invitation

Under Client portal, select Create portal invitation, then Copy invitation link. Check the recipient before sharing this private link directly with the client. For an expired or pending invitation, use Create a replacement invitation when needed.

  5. 5. Explain what to do next

Ask the client to open the invitation, sign in or create their own account, and accept it. Explain which forms or shared messages you want them to review.

What happens next

The client can see the work you explicitly share with them after accepting the invitation. Adding contact details alone does not sign them up or share your private notes.

If you get stuck

The client cannot open their portal.
Check the invitation status and recipient email in their workspace. Ask them to use the invited account. Use the available replacement-invitation option if the earlier invitation has expired.
I cannot see a client record.
Check that you are in the correct account and practice. Private records require explicit access; an organization affiliation alone is not enough.
